VOLT HRMS is a Human Resources Management system that contains an integrated set of applications to deal with all aspects of managing and planning human resources in an organization, it contains the following applications:

  • VOLT PAY
  • VOLT HR
  • VOLT ATTENDANCE
  • VOLT ATTENDANCE ADVANCE
  • VOLT COMPETENCY
  • VOLT ESS

VOLT ESS and VOLT ATTENDANCE cannot be purchased alone as they require VOLT PAY and/or VOLT COMPETENCY to be available before they can be installed, the rest of VOLT products can be purchased together or individually.

General Features of VOLT

The features listed in this section apply to all VOLT applications.

Web Based User Interface

  • VOLT is accessed through the Web browser, which enables users to access the system where ever they are (inside or outside the organization)
  • Being a server-client application, it provides centralized maintenance, security, and upgrades for the customers using it.

Highly Customizable

  • Customers can customize VOLT for their own use.
  • Support multiple database management systems to suite company infrastructure.
  • Authentication can be integrated with the company directory server or it can use VOLT Internal authentication system.
  • Menu options change based on the types of users using the system and their access level, access levels are controlled by the company administrator.
  • Text fonts, colors and backgrounds are all customizable.
  • The logo of the customer can be added to all reports.

Multi-Lingual

  • VOLT is designed to run in multi-Lingual user interface.
  • Customer data can be entered in any language.
  • VOLT comes with Arabic and English user interfaces, but other languages can be added.

One Company One HR

  • Companies with multiple branches need one installation of VOLT.
  • Support for multiple companies within the same group.
  • Support for multiple organizational structures.
  • Support for multiple tax systems to suit companies with branches in multiple countries.

Reports

  • A rich set of reports can be created by the administrator to deal with all aspects of the system.

Search

  • Powerful search functionality across all product functionality to help users of the system to search for the data they need based on many search fields.

Security

  • Powerful authentication; administrator can choose to use VOLT Authentication or connect to the company LDAP server for this purpose.
  • Granular authorization support, administrator can control access to every form of the system.
  • Users can be given access individually or as members of the group, and the sum of the two accesses will be active.

Notification

  • VOLT provides notification feature that allows sending emails when certain action occurs.
  • Notification actions are customizable by the company administrator.
  • SMS notifications can be added.

Logging

  • Have multiple levels of logs for informational, security and tracing purposes.
  • All add, modify and delete operations on system definitions, transactions, and employee records are logged.
  • All security actions like successful/failed logins, creating, modifying and deleting users and groups are logged.

VOLT PAY is the system to manage:

  • Tax definitions (Reliefs and Tiers)
  • Employment types, their benefits and how to deal with them.
  • Employment/Salary grades.
  • Vacation/Leave types.
  • Allowances/Deductions types.
  • Policies for dealing with delays.
  • How to deal with overtime and additional salary months.
  • How to calculate end of service.
  • Policies for loans to employees.
  • Bonuses and commissions.
  • Saving schemes.
  • Employee personal information.
  • Health insurance
    • Defining one or more insurance schemes.
    • Dealing with one or more insurance company.
    • Defining how to deal with beneficiaries and their dependents.
    • Define employee and company contribution levels.
  • Automatic calculation of tax, social security and all transactions that affect salary.
  • Integration with VOLT ATTENDANCE for.
    • Overtime and Delay calculation.
    • Automatic recognition of weekends and public holidays that are defined in the attendance system when calculating overtime.

VOLT Competency contains the following sub-systems:

  • Training management
    • Define/Manage training centers and trainers.
    • Define/Manage courses and competencies they give.
    • Define/Manage certification exams and the training courses associated to them.
    • Define/Manage training budget.
    • Manage employee training needs, seminars they give, conferences they attended and any academic achievement they achieved.
    • Automatic update of employee record with the competencies, Education and certifications they achieved.
  • Career Paths
    • Define the various careers that form a career path.
    • What is required for an employee to move from point to point on the career path.
  • Succession planning
    • Choosing a job title to find best fit for.
    • Looking across the organization for candidates who can do this job based on their experience, education, certification and competencies.
    • Selecting and employee and perform gap analysis to find what training this employee require to take the selected position.
  • Performance management
    • Define performance levels.
    • Define recommendations.
    • Performance definitions and what actions to take based on each level.
    • Define organizational goals and objectives, the weight they form on employee evaluation and the weight of each goal.
    • Define employee’s goals and objectives and the weight of each goal and the due date.
    • Perform appraisals and submit recommendations, this can be done by different people using different evaluation forms.
    • Compare employee evaluation with previous years.
  • Hiring management
    • Define number of positions for each job title.
    • Show job vacancies in the organization and allow planning the time to fill these vacancies.
    • Define hiring budget.
    • Creating review forms for the various positions or group of positions.
    • Create recruitment exams and grades.
    • Allow posting vacancies to the internet for external people to see, and on the intranet for internal employees to see.
    • Filling candidate forms can be done by HR officer, employees logged into the system, or external users from outside the organization through the internet.
    • Review candidate forms and CV, categorize them and choose best position to interview them for.
    • Scheduling interviews and choosing when and who will do it, suggesting the job or jobs to interview the candidate for, the review form to use and send notification to the interviewer and candidate.
    • Interviewer can see all candidate data and CV, fill in the review form, see the results from the exam and issue recommendation.
    • Give offers to candidates.
    • Hire candidates and this will create their employees data directly from the candidate form.
  • VOLT HR PLANNER
    • Plan cost of raises and bonuses and tie it to employee performance.
    • Plan recruitment cost.
    • Plan training cost.
    • Plan promotions.
  • This is an optional module that can be purchased separately; however, existence of VOLT PAY is a needed for it to work.
  • VOLT ATTENDANCE integrates with VOLT COMPETENCY, VOLT HR and VOLT ESS if they are available.
  • VOLT ATTENDANCE ADVANCE is an extension to VOLT ATTENDANCE that contains extra features for projectized environment to calculate cost and time spent on a project or with a customer.
  • VOLT ATTENDANCE is a system to manage
    • Integration with electronic Attendance monitoring systems.
    • Supply feedback to the VOLT PAY system for overtime and delay salary calculation.
    • Shift definitions and periods associated with them.
    • Assigning shifts to employees.
    • Overtime definitions and approval.
    • Define flexible shift hours for companies requiring them.
    • Define public holidays and weekends.
  • VOLT ATTENDANCE ADVANCE is an extension to VOLT ATTENDANCE that is used for
    • Defining projects employee spend time in and customers employee deals with
    • Allow employees to submit time sheets detailing how they spent their time.
    • Produce reports about time and cost spent on a specific project or with a specific customer.
  • This is an optional module that can be purchased separately; however, existence of VOLT COMPETENCY and/or VOLT PAY is a needed for it to work.
  • VOLT ESS integrates with VOLT HR and VOLT ATTENDANCE if they are available.
  • Define the services that can be accessed by employees
  • Define the approvers for each service.
  • Define workflow for operations that can be accessed by employees.
  • Define the types of approvals required for each service the employee can do, this can be
    • Automatic approval, where the system accept what the employee have provided, an example of this is an employee changing his address.
    • Approval required, where the change stays in pending stage until it is approved by the defined approver(s) for this operation, an example for this is when an employee submits a vacation, or leave.
  • Employee personal home page to follow up on
    • Actions created by the employee and their status (pending, accepted, rejected)
    • Actions awaiting approval by the employee, so that he can accept or reject them.
